Office Assistant to support Better Energy's Copenhagen office and make an impact that matters

You make sure the office environment is tidy and ready for a day’s work, as it slowly comes to life with people greeting you good morning, while the sun rises over a gorgeous view of the city of Copenhagen.
This could very well be what your mornings look like, as the Office Assistant for Better Energy in our Copenhagen office.
The entire Better Energy team is growing in both our Copenhagen and Sønderborg office, where a total of more than 120 employees work every day to make an impact that matters. We are looking forward to busy times ahead and we need an independent and dedicated Office Assistant to join our team of more than 80 great people in our Copenhagen office. We are looking for someone to take care of the daily office management tasks and support Better Energy’s rapid growth. How does an Office Assistant fit into Better Energy's Copenhagen office?
An office with 80 employees does not run itself, so we need a meticulous and organised person, who can manage all things practical – creating great value for all our employees because you “take care of business”. You will continuously be one step ahead to make sure the office is always stocked with everything we need – paper for the copy machine, fruit in the kitchen and, most importantly, coffee beans for the many cups of coffee that are downed during the day. We want you to be the first welcoming face for all our external guests, and make sure that all external meetings are set up well.
Our business keeps growing, so you will see your tasks evolve over time. You are used to taking the lead in your personal task management, whilst keeping an open mind to assisting with a variety of other tasks. Whether preparing a room for a meeting or planning internal events, you are open and willing to learn new things and take on new tasks.
You will report to our People Manager as a part of the People team, which currently consists of four dedicated employees who are responsible for all people needs in Better Energy. The People team is a part of the Sustainability, People and Communication department, which consists of seven people who all support and inspire each other. We are a team that works in a highly value-based way in everything we do, which means there is a great atmosphere and room for ideas and creativity.
A typical week for you could very well look like this:
- You will focus on the daily management of the office, and pride yourself in making sure everything is running smoothly.
- You will greet external guests and prepare amenities for meetings.
- Ordering office supplies for all our office needs.
- Booking hotels, flights, and train tickets, as well as handling courier services and incoming mail
- Organising internal events in collaboration with the rest of the People team and helping your department with ad hoc tasks.
- With your naturally great attitude, you will contribute to the inclusive and fun atmosphere at Better Energy. Our People team functions as a form of “culture ambassadors” and this role falls naturally to you as well.
To be successful in this role, you have previously gained experience within some of these areas:
- General office assistant tasks in a larger company.
- Self-managing your day-to-day work and prioritising between “need to have” and “nice to have” tasks.
- Offering an overall high level of service across several departments.
Ideally, you also have these professional qualifications:
- IT knowledge: overall comfortable with IT and various online platforms. Must also be good with the Microsoft Office package - Word, PowerPoint and Excel.
- High level of proficiency in written and spoken English.
First and foremost, you enjoy being of service to other people and always want to lend a helping hand to your colleagues. You wish to create a comfortable work environment in which your colleagues can focus on their most important tasks and you feel proud when you see everything is running smoothly.
Your personality matters.
You are known for your positive and infectious energy - and you do not mind sharing a funny story or asking about everyone's weekend plans. You enjoy working independently and settle into your own rhythms, as you are an organised person. You master great communication and interpersonal skills, which also makes you an easy person to be around. You feel a great sense of responsibility towards your co-workers and in ensuring the office runs smoothly. With your naturally great attitude, you will contribute to the inclusive and fun atmosphere at Better Energy.
